Apprenticeship Faculty Facilitator Responsibilities

 

1. Participate in Apprenticeship Faculty Development

To ensure compliance with institutional and regulatory standards, faculty must complete professional development sessions provided by the Office of Experiential Learning (OEL). These sessions support faculty in effectively developing and facilitating apprenticeship experiences.

Required Training Modules:

  • Apprenticeship Regulations and Processes (30 minutes)
    • Required for all apprenticeship faculty
    • Earns 30 minutes of professional development credit
    • Topics include: facilitating, managing, tracking, and reporting apprenticeship experiences

  • Optional: Live Virtual Onboarding
    • Schedule a one-on-one session with the Apprenticeship Coordinator to review the training and ask questions.

      • Covers national standards, data collection strategies, and evidence-based implementation to enhance student and employer satisfaction.

2. Establish Employer Partnerships and Assign Apprentices
OEL maintains a department-specific Employer Master List, updated each semester in coordination with Academic and Continuing Education (CE) departments.

OEL Responsibilities:

  • Identify and conduct employer outreach upon departmental request only
  • Confirm employer compliance with apprenticeship standards
  • Verify wages, hiring process, and job descriptions
  • Support document development (e.g., MOU, Appendix A & D)

Faculty Responsibilities:

  • Communicate with listed employers to:
    • Clarify job roles
    • Define learning objectives
    • Confirm apprenticeship compliance
  • Inform OEL of updates (e.g., filled positions, changes in employer info)

3. Facilitate Student Engagement and Apprenticeship Planning

Faculty must actively support student participation and planning.

  • Review Employer Master List
    • Updated each semester and shared via Google Docs
  • Employer Communication
    • Faculty initiate contact and coordinate apprenticeship planning
    • OEL outreach to new employers requires department approval

  • Meet with Students
    • By the first week of the semester:
      • Review program expectations and establish learning goals
      • Maintain regular communication throughout the term

4. Complete and Submit the Apprenticeship Agreement
Each apprenticeship must be documented through an ACC Apprenticeship Agreement, submitted online by the Faculty Facilitator or Apprenticeship Coordinator.


5. Advertise and Match Students to Opportunities
Faculty are responsible for promoting and facilitating student-apprenticeship matches.

Best Practices:

  • Screen and pre-vet candidates using job descriptions and Appendix A criteria
  • Understand student strengths and goals for informed referrals
  • Direct students to the Career Services website for resume and interview preparation

6. Monitor Student Progress and Employer Engagement

Faculty must provide ongoing support and ensure a quality apprenticeship experience.

  • Schedule regular student check-ins (e.g., weekly, monthly, midterm)
  • Work with the Apprenticeship Coordinator to ensure that Employers complete on-the-job competency evaluations (OJT Tracking Form)
  • Refer students to appropriate ACC support services as needed

Reporting Issues:

  • Notify the Apprenticeship Coordinator of any concerns
  • Follow the grievance process if necessary:
    • Notify the Department Chair/Dean
    • Department of Labor: Report within 15 days
    • ACC Policy: Report within 10 days
    • OEL Program Director will only contact employers with departmental approval
    • Employers may be removed from the Master List if warranted

7. Submit Final Tracking Reports and Feedback

Required End-of-Semester Forms:

    • Assesses student progress and learning outcomes
  • Encourage Students To:
    • Update their Handshake, LinkedIn, Resume, and Portfolio after every semester to highlight newly attained skills and experiences.
