Austin Community College Apprenticeships Area – Departmental Procedure

Purpose
The Austin Community College (ACC) Apprenticeships area, within the Office of Experiential Learning, is committed to supporting the development, implementation, and sustainability of apprenticeship programs across the institution. The area serves as a central resource to facilitate collaboration between ACC academic departments and external partners, including municipal agencies, state and county entities, private-sector companies, and non-profit organizations.

Scope
This procedure outlines the responsibilities and activities of the Apprenticeships area in its support of ACC faculty, staff, and students, as well as its engagement with external stakeholders to establish and grow apprenticeship opportunities.

Responsibilities and Procedures

The Apprenticeships area shall:

  1. Facilitate Partnerships
    • Establish and maintain positive, collaborative working relationships with employers, ACC academic programs, and Continuing Education programs.
    • Serve as a liaison between external partners and ACC departments to ensure alignment with institutional goals and workforce needs.
  2. Develop and Manage Agreements
    • Coordinate the development, execution, and maintenance of apprenticeship agreements between ACC and partnering employers.
    • Ensure all apprenticeship agreements meet relevant standards and regulatory requirements.
  3. Provide Resources and Support
    • Deliver accurate, timely information and resources to faculty, staff, and students regarding apprenticeship models, processes, and opportunities.
    • Maintain current knowledge of local, state, and federal apprenticeship standards and disseminate updates as needed.
  4. Promote Academic Alignment
    • Collaborate with ACC leadership, deans, department chairs, faculty, and external stakeholders to ensure academic programs align with industry standards and apprenticeship pathways.
    • Identify opportunities to integrate apprenticeship experiences into credit and non-credit curricula for maximum student benefit.
  5. Offer Training and Professional Development
    • Design and conduct training sessions and workshops for faculty and staff on apprenticeship models, including both Registered Apprenticeships (RAP) and Industry-Recognized Apprenticeship Programs (IRAPs).
    • Provide ongoing professional development to ensure ACC personnel remain informed of best practices and emerging trends in apprenticeship education.
  6. Maintain Centralized Documentation
    • Serve as the official institutional repository for all apprenticeship-related employer documentation to ensure consistency, efficiency, and compliance across programs.
    • Oversee the collection, organization, and secure storage of all relevant documents, including apprenticeship agreements, employer records, and program-related materials.
    • Track and maintain accurate data on individual apprentices, including required paperwork, progress, and outcomes.
    • Prepare and submit reports to ACC leadership and, when applicable, to external regulatory bodies such as the U.S. Department of Labor and the Texas Workforce Commission, per the requirements of Registered Apprenticeship Programs.

Review and Updates
This procedure shall be reviewed annually by the Apprenticeship Coordinator, the Director of the Office of Experiential Learning, and the Apprenticeship Advisory Board to ensure it is updated as necessary to reflect changes in institutional priorities, industry standards, and regulatory requirements.
